Our client is an established professional practice, primarily London based but with offices in other major centres in the UK and Europe. A successful business, the principles had focussed entirely on the fee generation activities and had largely overlooked the property, facilities and business support services aspect of the business.

As a result of a couple of small acquisitions, the business had been burdened with unwanted property and a major dilapidation issue in the city HQ which prompted a major review of the cost of property occupancy.

Our brief was to appraise the entire non-core business function and make recommendations. The outcome of the review was a request for us to Design, Implement and Manage an integrated, comprehensive solution while observing some critical factors:

  • Staff and customer facing employees were deemed business critical and must be retained as in-house employees
  • Efficiency and fit for purpose services to take precedence over cost savings through reduction in service inputs and/or service levels
  • Property provision must meet business needs so that the business is not compromised to meet the property(s) provided

The support services operation was streamlined, reporting lines, supervisory and management structure rationalised to enable a joined up, integrated delivery of the various services.

By utilising our 24x7 Technology and Communications centre as the information hub for all site activity, a date and time stamped audit trail became available for all staff, enabling task tracking, compliance, performance measurement and audit for each and every requirement. The ‘E Ticketing’ solution allowed staff to action all their support service requirements through the company intranet – and view the task’s progress.

Our contractual model mandates absolute transparency enabling this client to delegate full financial processing, reporting and budget administration to us. By having complete ownership of the operation we are able to ensure all costs and provisions are accurately reported with forecasting and expenditure against budget reviewed monthly. We maintain a RICS regulated and audited client account through which all funds are managed, the details of which are on line 24x7.

The outcome was a significant improvement in the performance of the property, facilities and business support function and a reduction in the cost of property occupancy.
